Edit Email Templates

 

Overview 

Automatic notifications are sent to supervisors and employees through the performance evaluation process. You can tailor these notifications in the Email Templates section.

For each template, the default email language has been set for you. You can click on a template to edit the text to your preferences.

Important Note

  • You must make sure that your mail merge-field matches exactly. It is recommended that you copy and paste to avoid mistakes. You can Paste as Plain Text in Google Chrome.

Merge Fields

  • Mail merge fields (#FieldName#) will be replaced with actual values when the e-mail is sent. If you want to create the e-mail manually, the mail merge fields available to you are:
Employee Fields Supervisor Fields Approval Fields Review Fields Misc. Fields
#EmployeeFirstName# #SupervisorFirstName# #ApproverFirstName# #ReviewPeriod# #OrganizationName#
#EmployeeFullName# #SupervisorFullName# #ApproverFullName# #RoutingNotes# #LoginAddress#
#EmployeeEmail# #SupervisorEmail# #ApproverEmail# #ReviewDueDate# #MailFrom#
        #ContactEmail#

 

Instructions

  1. Navigate to Email Templates

  2. Select a template to edit

  3. Edit email template

    • Fields: Edit the text in the fields
    • Send Test E-Mail To: Enter an email address to send a test email to
    • Send Test E-Mail: Test your mail merge fields
      • Note: This will replace your mail merge with test data and send it to the email that you specified. You must save your template BEFORE you send a test email, otherwise the e-mail will not include your changes.
    • Note: These fields are the same for all the templates.
  4. Scroll to the top and click Save Templates
